The User Settings panel in K9 Links lets you personalize your outreach, connect automation tools, and customize AI-generated content.

In this help article we’ll cover:

1. Outreach Settings → Personalize emails & pitches.
2. Webhooks → Connect K9 Links with Integrately or Zapier to automate tasks.
3. Advanced Custom Prompts → Fine-tune the AI’s output for content generation.

2. Outreach Settings ✉️

Customize your AI-generated emails and outreach content so they sound natural and relevant to your business.

Step 1 — Open Outreach Settings

• Go to Settings in the left-hand sidebar by clicking on your email address at the bottom

Step 2 — Personalize Your Profile

Fill out the fields to make your outreach messages feel authentic:

1. Full Name:

Emails will properly introduce who you are and sign off with a professional signature

2. Professional Title:

This will be used to explain what you do and why you are reaching out.

3. Company Name

Inserts your business name into emails.

“Pawsome Grooming Co.”

Note: For Company Name, it can be great to add your tagline as well if it is descriptive of your business or brand, for example we use: "K9 Links, AI Linkbuilding Software" as our company name and it helps the AI distinguish what we offer vs getting confused on K9 and thinking we offer something for dogs.

4. Email:

This will be used in your email signature and is good so that folks can just click to reply

Step 3 — How AI Uses This Information

• AI-generated emails automatically include:
• • Your company name.
  • A brief description of what you do.
  • A personalized pitch based on your offer.
  • A personalized email signature

Example Output:

“Hi Sarah,

I came across your pet care blog and loved your article on grooming tips!
My name is Jennifer, I run Pawsome Grooming Co., a boutique studio in Austin, and I’d love to contribute a guest post about organic grooming products.

I have some great tips on finding, comparing and using organic grooming products that I think your readers (and their pets!) would love.

3. Webhooks for Sending Email 🔗

Connect K9 Links to your favorite automation tools like Zapier or Integrately to send email with any email sending tool via SMTP, Gmail, MailChimp or whatever email sender you use.

To automate email sending from K9 Links, you can connect a webhook using a service like Zapier. This is the most flexible option and lets you send outreach emails using any provider you choose — such as Gmail, SMTP, Mailchimp, Constant Contact, and more.

🔧 How to set up a webhook with Zapier + Gmail or SMTP:

1. In your Zapier account, create a new Zap .
2. Set the trigger app to Webhooks by Zapier and choose “Catch Hook.”
3. Copy the webhook URL provided by Zapier.
4. Paste that webhook URL into your User Settings in K9 Links under the Webhook section.
5. For the action, choose your preferred email app (e.g., Gmail or SMTP).
6. Map the fields (recipient email, subject, message body) from K9 Links to your email service.

Test Your Webhook

• Click “Test Webhook”.
• Verify that the data appears in your automation tool.

4. Advanced Custom Prompt Settings 🧠 (For Power Users)

If you want full control over AI output, you can modify the prompts K9 Links uses to generate outreach content.

This is especially useful for custom searches that look for link types beyond guest posts, resource pages, and niche collaborations. It allows you to create personalized content for any type of outreach including things like affiliate partnerships or community outreach etc.

Step 1 — Access Prompt Settings

• At the top of your list of backlink opportunities or the top of the Pro Links Directory, open the Outreach Settings Panel: Outreach Personalization → Advanced Options → Custom Prompt

Step 2 — Customize Your AI Instructions

Here you can write your own custom prompt for your outreach content, this will override the default prompts that our app uses and should only be used by power users who have experience with prompting and outreach.

• Change tone → Friendly, professional, persuasive, casual.
• Adjust length → In your prompt specify length of sentence structure and overall output.
• Include specific CTAs → “Ask for a guest post” or “Request a backlink.”

Customized Prompt Example:

“Write a casual, friendly outreach email for a small local business requesting to be added to a community resources page. Keep it under 150 words, introduce me [full name] as the business owner at [company name] and give a compliment on their website and thank them for creating the community resource page before asking to be included. Sign off with my full name, email address and website link.”

Step 3 — Best Practices

• Always keep prompts clear and specific.
• Use personalized information like [COMPANY_NAME], [OFFER], [KEYWORD]
• If your custom prompt doesn't produce good content you can always delete it and save no prompt to go back to the default prompts.

5. Troubleshooting & Tips 🧩

• Emails not personalizing? → Check your outreach personalization settings.
• Webhook not firing? → Make sure it’s saved and the URL is correct.
• Weird AI outputs? → Delete and save a blank custom prompt to go back to default prompts.
